The sponsorship handoff your next board will thank you for
Keep the relationships when volunteers change and a new season begins.
Give the organization its own records
Keep business contacts, relationship notes, sponsor commitments, invoices, and payments in an organization workspace. Access should follow board roles, with individual accounts rather than a shared password.
Before the outgoing board finishes
Review every unpaid balance, unfulfilled recognition benefit, and unresolved business reply. Assign an incoming owner and a realistic next action. Export a dated backup for the organization and reconcile payment totals against your bank records.
Start a season without erasing the last one
Keep the business as a permanent relationship. Create a new annual opportunity for returning sponsors, carrying over the contact and prior package as a starting point. Old commitments and payments stay in their original season; a renewal is an invitation, not a new invoice.
Give your treasurer visibility
A pledge is not collected money. Review amounts committed, amounts received, and amounts outstanding separately. Online payment status should update from the payment provider; record check references and dates for offline payments.
Make the first meeting useful
Review the renewal list, unassigned contacts, sponsor promises, fundraising goal, and bank access. Ask outgoing volunteers to add relationship context while it is still fresh. Keep sponsor opt-outs across every new season.
